Job Title: Room One Finance & Operations Manager
Reports To: Executive Director, Room One
General Description: The Finance and Operations Manager supports the administrative and operational needs of the Room One office and staff, including the Executive Director. Responsibilities include ensuring the smooth functioning of office systems, effectively managing finance and related development systems, and supporting staff in understanding and having access to benefits that meet their needs.
Core Responsibilities/Essential Functions
I. Operations Management
Coordinates general office functions such as ordering office and program supplies, working with various vendors and contractors to ensure office equipment is working properly, and other facilities related tasks
Maintains records of partnership and rental agreements and responds to tenants’ building needs
Assists in organization and distribution of policies and procedures
Assists with human resource duties, including maintaining employee files, collecting employee timesheets, completing new hire paperwork, verifying applications & benefits for new employees, assisting staff with benefits questions, and exploring specific staff benefits
Maintains office and tenant calendar; coordinates internal and committee meetings as needed
Arranges for cleaning of offices, building grounds and overall facility maintenance
Manages incoming mail, invoices, and receipts
II. Volunteer management
Connects volunteers with appropriate program lead
·Assists in implementation of annual volunteer recognition event
Maintains roster of current and prospective volunteers
Ensures volunteer application is current and thorough, and completes administrative paperwork for new volunteers.
III. Administrative Assistance
Assists the Executive Director as needed and other program directors as assigned
Assists in scheduling, preparing for and carrying out special events or projects
Prepares finance documents for monthly board meeting and quarterly finance committee meetings
Supports fundraising systems: data entry, report generation, thank you preparation
Coordinates designated fundraising events, including event planning, outreach, appreciation as appropriate
Works with Executive Director to prepare and oversee annual organization budget & individual program budgets as needed
IV. Finance and Bookkeeping
Maintains chart of accounts on Quick Books Pro
Reconciles checkbook and debit account with bank statements
Ensures timely payment of vendor bills and deposit of all monies received
Prepares and submit payroll and payroll taxes
Works with Board Treasurer and Executive Director to provide monthly financial reports, program budget reports as needed, and quarterly finance committee reports
Prepares and submits quarterly 941 and related reports and provide CPA financial records for IRS 990
Exceptional ability to organize, prioritize and monitor tasks to completion
Strong written communication skills
Basic understanding of IT systems and ability to troubleshoot IT problems
Unwavering commitment to ethics of accountable, upstanding fundraising and accounting
Strong computer experience with proficiency in Microsoft Office and Excel
Strong commitment to social justice, particularly to those challenges facing youth, families, and the aging in rural communities.
Bookkeeping experience (strongly desired, not essential)
Great sense of humor and a desire to work in a joyful, inclusive workplace
Wage & Benefits
32 - 35 hours per week
Wage depends on candidate’s experience, will start at $22/hr and include benefits. Wage will increase with bookkeeping experience.
